AI receptionist vs answering service: how to choose

A caller asks to change an appointment. The question is whether the service can complete the agreed task accurately, or hand it to someone who can.

Choose against your call tasks, not the label on the service. An AI receptionist, human answering service or combination may fit. The useful comparison is coverage, permitted actions, escalation, operating limits and the total cost of a completed outcome.

Sort a week of calls before choosing a supplier

Use a representative sample from your own business. Separate routine information requests, new enquiries, changes to existing bookings, complaints and requests that need judgement or sensitive information. Do not send identifiable customer recordings to prospective suppliers just to obtain a quote; use anonymized summaries or fictional test scenarios.

For each task, write down what a successful response looks like. “Take a message” is different from “confirm a reservation.” A service that cannot access the relevant calendar may be suitable for collecting a request, but should not claim the booking is complete.

Neither column is a universal product specification. A human service does not automatically have authority to solve every problem, and an AI service does not automatically support every language or business system. Require evidence for the particular offer.

Choose a handover that survives a busy day

Specify the handover destination, available hours and fallback. For example: send an approved enquiry summary to the team during business hours; outside those hours, record a callback request and state when it will be reviewed. If the service attempts a transfer, define what it says when the transfer fails.

A blended arrangement is worth assessing when routine enquiries can follow a narrow workflow but some callers need a person. Test the transition itself: the caller should not have to repeat every detail, and staff should know which parts are confirmed facts versus unverified requests.

Run the same pilot scenarios

Use the same fictional scenarios for each candidate. Include a straightforward question, an interruption, an unclear name, a requested action outside scope and an unavailable handover destination. Add a correction midway through a request and check whether the final record reflects the correction.

For AI, measurement should continue beyond a polished demonstration. The NIST AI RMF Playbook organizes voluntary risk-management guidance around governing, mapping, measuring and managing AI. Our practical recommendation is to translate those ideas into named owners, test cases and an ongoing review process; referencing the framework is not a Lucentia certification.

  • Accuracy: did the caller receive the approved answer?
  • Task completion: was the permitted action actually completed, or was it only requested?
  • Handover: did the right person receive enough context?
  • Boundaries: did the service refuse to invent information or promises?
  • Follow-up effort: how much staff work remained after the interaction?

Compare costs against the same scope

Use a common evaluation period and your own expected volume. Include implementation, recurring fees, variable usage, support, human follow-up and any work needed to keep the information current. Avoid a universal “AI is cheaper” claim: the result depends on what you are buying and what it completes.

Our AI receptionist implementation cost guide provides a quote checklist. Dental teams can also read the separate dental-specific comparison, which addresses that setting rather than treating all business calls alike.

Make the decision reversible

Begin with a narrow task and an agreed review point. Keep a fallback route and define how service can be paused if it gives incorrect answers or fails to hand over. Decide who updates the instructions when your prices, hours or policies change.

Lucentia Services can assess a scoped AI implementation. The first conversation should establish whether the workflow fits and what still needs a person. If an answering service or a simpler callback process is a better fit, the comparison should make that clear.
